Doctoral Call for Papers

The Doctoral Symposium is specially designed for PhD candidates researching in any area related to the main CIO2018 topics. This Symposium brings the PhD students the chance to interactively discuss their research issues and ideas with senior researchers and receive constructive feedback from members of the research community, as well as from other fellow PhD students. At the same time, the initiative is aimed at developing a community of junior ADINGOR members, keeping the network alive and providing opportunities to seek advice on various aspects of completing a PhD and performing research.

The doctoral symposium is an initiative of ADINGOR and it is supervised by a Committee coordinated Ruth Carrasco-Gallego (Universidad Politécnica de Madrid)

Symposium Format

The Doctoral Symposium will be held during the CIO’18 Conference, on July 12th, 2018.

It will be divided in two sessions:

  • Seminar “How to get a PhD”: Meet your peers in an informal environment and share with them issues you all have to deal with during your PhD paths: skills needed to obtain a PhD, the nuts-and-bolts of writing academic papers, scholarly networking, academic career, etc. The format of the seminar will be a short presentation by doctoral symposium committee members introducing next a debate among symposium participants on the topics found most relevant.
  • Papers presentations session: PhD students will present in oral format the paper submitted to the conference (if accepted), in the same conditions as authors submitting to the general track. However, in this special session, PhD students will be allowed 5 extra minutes to position the results described in their conference paper within the overall framework of their thesis (about 25 minutes in total). In addition, a discussant will be appointed to each paper. The experts and audience will interact with the author, providing constructive advice and suggestions.

The extra 5 minutes could be devoted to provide the following information, in case it has not been delivered in the paper submitted to the conference:

  • Stage of the PhD project: initial stage (first or second year) or mature stage (third year, or later).
  • Background: The problem addressed by this PhD research and a motivation of its importance.
  • Related work: A review of the relevant works that have addressed this problem or a similar one before, emphasizing the differences and advantages of the proposed approach in the PhD.
  • Objectives or research questions of the overall PhD research.
  • Methodology: A description of the methods used to address the objectives or research questions formulated in the PhD research, with a mention to how this methodological approach overcomes the current state of the art and how the results through these methods will be validated (e.g. prototyping, industry case studies, user studies, experiments, etc.).
  • Preliminary results: A description of the work to-date in the PhD project and results achieved so far.
  • Expected contributions: A list of the expected contributions of this PhD project to both theory and practice.

Submissions and paper preparation guidelines

Participants in the doctoral symposium are subject to the same rules and evaluation criteria as those submitting to the general call for papers. All their submissions are eligible as one of the top papers of the conference to be published in the conference journals (CEJOR, DyO, IJPME, LNMIE). If this threshold is not reached, they will be published in the conference proceedings together with the rest of accepted papers of the conference.

In addition, participants of the doctoral symposium are the only candidates eligible for CIO18 best PhD paper award, which involves:

  • The publication of that submission at least [*] in LNMIE, Springer.
  • A mention and a diploma to be delivered during CIO18 gala dinner.

[*] if the quality of the paper fulfills the criteria to be published in one of the conference journals, the author(s) will be asked about their preference.

Requirements to participate in the doctoral symposium and the CIO18 best PhD paper award:

  • The PhD student is the first author of the paper. The paper can be co-authored by the PhD advisor (s) or other co-authors.
  • The manuscript presented to the CIO18 conference is part of the PhD project.
  • The PhD dissertation has not been defended yet.
  • The topic of the PhD project and the associated submission is relevant to the CIO18 conference topics.
  • The manuscript has been accepted.
  • The PhD student has registered in the conference and attends the doctoral symposium.

Submissions to the doctoral symposium should contain the following documents (in English):

  1. Manuscript: (full paper): 8 pages as a maximum, they should follow the formatting instructions of the general call for papers. Word templates.
  2. Recommendation Letter: to be signed by the PhD advisor(s) and including the following information:
  • Name and status of the PhD student (first year, second year, etc.).
  • Name (s) of the PhD advisor(s).
  • An assessment of the current status of the PhD.
  • A short paragraph justifying how the manuscript submitted to the conference is related to the overall PhD project.

NOTICE: To simplify the submission process, the recommendation letter must be included at the end of the paper, all in the same document. Recommendation letter will not be considered as part of the 8 pages limit.

Important Deadlines for Doctoral Symposium

  • Manuscript + Recommendation Letter submission deadline: 6th March 2018 (EXTENDED)
  • Authors’ notification due: 20th April 2018.
  • Final versions of papers: 18th May 2018
  • Doctoral Symposium: 12th July 2018
